Job Scope

Job Summary Supervise and co-ordinate the administrative services covering purchasing, company vehicle maintenance and the efficient provision of office services and security.

Key Responsibilities

  • Assist in developing and implementing system, policies and procedures for the provision of efficient administrative services.
  • Ensure the approved systems, policies and procedures are consistently implemented and administered throughout Gamuda Land.

• Purchasing

  • a) Review and process purchase orders and ensure that they are in accordance with approved budgets, policies and procedures.
  • b) Identify, evaluate and recommend suppliers for all normal office requirements and assist in negotiations with suppliers except for capital investment and purchase of major fixed assets (where assistance may be required on a need basis from time-to-time).
  • c) Maintain complete and up-to-date records and documents for all purchases made.
  • d) Check and verify accuracy of invoices before recommending approval for payment.

• Record

  • a) Maintain records for vehicle statistics, maintenance and running costs, and repairs servicing costs.
  • b) Check and verify expenses relating to maintenance, servicing and repairs of vehicle, office equipment and fittings.
  • c) To assist Corporate and Finance Department on fixed assets physical count.

• Maintenance

  • a) Responsible for fleet management and ensure proper and regular maintenance.
  • b) Responsible for regular maintenance of all office equipment and fitting.

• Others

  • a) Supervise and organise day-today administrative matters e.g. dissemination of information/procedures, external/internal despatch and deliveries, mailing and courier service at Head Office, booking of pool car and driver (where applicable).

  • b) Monitor and ensure efficient telecommunications services, check and verify expenditure relating to key phone systems, direct lines, handphones, facsimile, etc. Gamuda Group of Companies Revision No.: 1

  • c) Supervise and co-ordinate the work of Tea Lady ensuring efficient service for staff and guest.

  • d) Monitor and organise receptionist / telephone operator activities ensuring efficient service.

  • e) Assist in the supervision and co-ordination of property management and maintenance activities, including planning of office space, renovations, administration of rental, utilities, insurance and related payment.

  • f) Undertake other duties as directed by the – Human Resource and Administration Manager.

  • To comply and adhere to all matters pertaining to Quality, Safety & Health and Environment related to the job scope and work place as required by the Company.

  • Any other duties that will be assigned from time to time by the Management.


  • Minimum Diploma in Administration.
  • Minimum 5 years related experience.

Competencies Required

  • Able to interact with all levels of staff.
  • Assertive and demonstrates initiative.
  • Skills & Abilities
  • Good negotiating skill, Computer literate.
